Follow up when you have a useful reason to ask for an update and an appropriate contact. Start with any timeline or instructions the employer provided. A short message should identify the role, give the necessary context and make one clear request.
Read the employer's timeline first
Check the posting, confirmation and any recruiter message. If the employer gave a decision date, allow that date to pass before asking for an update. If the posting says not to contact the team, respect that instruction. A follow-up is optional; it is not a required step that makes an application valid.
Without a stated timeline, choose a reasonable review date in your tracker rather than sending a message the next morning. Around one to two weeks can be a useful personal checkpoint after applying, but it is not a universal hiring rule. The posting's closing date and the employer's instructions matter more.
Use a contact you already have
Reply in an existing recruiter conversation when it concerns this role. Otherwise use a contact the employer provided for application questions. An automated confirmation may come from an address that does not accept replies; read it before sending.
Avoid sending the same request to several employees or guessing a private contact address. If there is no appropriate channel, checking the application status and continuing your search is a complete next step. Silence is frustrating, but repeated messages do not give you more control over the hiring timetable.
An example after applying
Fictional subject. Data analyst application, requisition DA-104
Hello hiring team, I applied for the data analyst role at Northstar Labs on October 8. I remain interested in the work on reporting quality and would appreciate any update you can share about the hiring timeline. My application was submitted under Livia Drusilla. Thank you for your time. Livia
Replace every fictional detail before using the example. Keep the role title and requisition ID exact. One sentence about relevant interest is enough; you do not need to restate your resume or ask whether someone has read it. Do not imply that you have another offer unless you actually do.
An example after an interview
A thank-you note and a status request serve different purposes. A thank-you can refer to a specific conversation soon after the interview. A status request comes after the timeline you discussed has passed. Keeping them separate makes the reason for each message clear.
Fictional status message. Hello Marcus, thank you again for discussing the analyst role with me last Tuesday. You mentioned an update by Friday, so I wanted to check whether the timeline has changed. I am still interested in the team's reporting project and am happy to provide anything else you need. Thank you, Livia
Use the real person's name and the actual timeline from your conversation. The University of Michigan's career guidance recommends following up when a stated timeline has passed. If no timeline was given after an interview, its suggested checkpoint is two weeks. Treat that as guidance, not a promise about a reply.
Ask for one thing
Ask whether there is an update on the timeline, whether the team needs a missing document, or how to correct an application detail. Pick the question that matches your situation. A message that also asks for feedback, a referral and an interview creates several tasks for the recipient.
If you discover an important error, explain the correction directly instead of disguising it as a routine follow-up. State which detail was wrong, provide the correct information and ask how the employer wants it updated. Avoid sending additional attachments unless they are needed or requested.
Decide what to do if there is no reply
After one clear follow-up, give the team time. Set a later status check rather than a sequence of daily emails. If you have a real deadline, such as another offer's response date, state it accurately and politely ask whether an update is possible. The employer may still be unable to accelerate its process.
Keep applying to suitable roles while you wait. Do not mark an unanswered application Rejected unless you receive that decision or choose to close it in your own records. You can label it Awaiting response and keep the date of your last contact.
Record the message and the next step
Save the date, recipient and a short description in your application tracker. If the employer replies with a new timeline, replace the old reminder. If they ask for something, turn that request into a specific action and date.
Before sending any example, read it aloud and check the employer, role, date and name. Remove placeholders and sentences that do not sound like you. A useful message can be brief and ordinary. Its job is to make your question easy to answer, not to pressure someone into making a decision.
For the preparation steps that come before this point, read the application checklist. Having the posting URL, submitted resume and confirmation in one place makes a later follow-up much easier to write accurately.
Where OfferAIO fits
OfferAIO keeps your profile, resume versions and application progress together. It sends an application from your profile, your resume, your saved answers, and OfferAIO's standard answers.
